This policy applies to ZoftOne website visitors, people who contact us, customers, service users, and job applicants. It covers information sent through forms, email, LINE, and our other contact channels.

Your name, phone number, email, organisation, and the project brief or message you send us.

Services and customer accounts

System requirements, information needed for software, AI, or cloud work, and delivery contact details. If you use the customer system, this may also include account, order, quotation, invoice, licence, and support information.

Careers

Your name, contact details, introduction, portfolio link, and documents attached to an application.

Bank transfer notices

Document or order reference, payer contact details, amount, transfer date and time, bank details you provide, and transfer proof.

When you use the site, the system may record necessary technical information such as IP address, device and browser details, session cookies, language choice, consent history, and operational or security logs.

Please do not send sensitive information or unrelated documents through general forms. If a project needs this kind of information, we will agree on its scope and handling separately.

We use information for the activity relevant to you; information from every form is not used for the same purpose.

  • Plan and deliver servicesAnswer questions, scope and quote work, contract, develop, deploy, deliver, and support systems.
  • Review applicationsAssess qualifications and work samples, and contact you about the role you applied for.
  • Review paymentsCompare references and proof with relevant records for staff review. Sending a notice does not automatically mark an item as paid.
  • Operate securely and meet obligationsAuthenticate users, prevent misuse, keep necessary records, and prepare accounting or tax documents where required.

The legal basis depends on the activity: steps before or during a contract, legal obligations, legitimate interests in service and security, or consent where required. Marketing communications follow the relevant consent choices.

If your project involves AI or cloud services, the data scope, connected systems, and actual providers will be set out in the agreement for that project.

Access is limited to staff authorised for their work and providers needed to deliver the service, such as hosting, email, or project delivery partners. We share only what is necessary for those purposes, or with authorities when required by law.
